CYBERGON WORKFORCE Usage Terms and Conditions for Employees


1. Acceptance

Access to CYBERGON’s Customer Relationship Management (CRM) system is limited to authorized employees. By using the CRM, you agree to these Terms and Conditions.

  • CYBERGON reserves the right to modify these Terms without prior notice. Continued use of the CRM signifies acceptance of any updates.

2. Authorized Access and Usage

  • Access to the CRM is provided strictly for conducting CYBERGON-related business.
  • Unauthorized access, sharing, or use of CRM credentials is prohibited. Any access outside of work hours or for non-work-related activities requires management approval.
  • Employees are assigned role-based permissions; altering or attempting to exceed these permissions is forbidden.

3. Confidentiality and Data Privacy

  • Employees must comply with CYBERGON’s data protection policies and maintain the confidentiality of client, vendor, and company information.
  • CRM data is sensitive and must not be disclosed to unauthorized persons, including other employees outside your team or department.
  • All client interactions, notes, and sensitive information must be accurately and securely recorded within the CRM.

4. Prohibited Actions

  • Unauthorized Data Access: Accessing, modifying, or deleting data not directly related to your role or assignment is strictly prohibited.
  • Data Exporting: Exporting client or company data from the CRM without explicit authorization is a violation and grounds for disciplinary action.
  • Use of Personal Devices: Accessing the CRM from non-secure devices, such as personal or public computers, is prohibited to prevent data breaches.

5. Account Security

  • Employees are responsible for safeguarding their CRM credentials and must not share passwords with others.
  • Any suspected breach, such as unauthorized access to your account, should be reported immediately to IT or management.
  • Regular password updates are required; using strong, unique passwords is recommended to enhance security.

6. Monitoring and Auditing

  • CYBERGON reserves the right to monitor and audit employee activity on the CRM to ensure compliance with security protocols and detect any unauthorized use.
  • Activity logs, including data access, edits, and interactions, are maintained for security and compliance purposes.

7. Compliance with Company Policies

  • Employees must comply with all applicable company policies, including data protection, confidentiality, and ethical standards.
  • Violation of CRM Terms or company policies may result in disciplinary action, up to and including termination of employment.

8. Data Integrity and Accuracy

  • Employees are responsible for maintaining accurate, up-to-date records in the CRM. Inaccurate or outdated information must be corrected promptly to maintain data integrity.
  • Data manipulation, including falsifying or omitting relevant information, is prohibited and subject to disciplinary action.

9. System Maintenance and Downtime

  • The CRM may be periodically unavailable due to system maintenance or updates. CYBERGON will provide advance notice whenever possible.
  • Employees must ensure that critical tasks are scheduled to avoid disruption during planned maintenance windows.

10. Termination of Access

  • CRM access is immediately terminated upon the end of employment or as directed by management in the event of role changes.
  • Employees leaving CYBERGON or transitioning roles are responsible for transferring any active accounts and notes to their supervisor or designated successor.
